Life Technologies has an opportunity available for a talented Senior HR Administrative Assistant to support our Asia Pacific/Japan (APJ) HR Organization.
Essential Functions
- Performing various complex administrative support functions, typically of a confidential nature.
- Coordinates cross-functional HR team meetings, collaboration spaces and agendas.
- Provides direct administrative support to Regional Leader HR.
- Supports HR reporting and analytics by utilizing Microsoft Excel, PowerPoint and various HR systems.
- Compiles various metrics and reports such as headcount reports, turnover analysis, and metrics dashboard utilized in business decision making.
- Provides basic analytics on shifts and changes in regular HR operating metrics.
- Assists in coordinating HR budget tracking for the APJ region and fully monitors travel activity of the APJ HR team.
- Coordinates and monitors progress on organizational initiatives such as Quest Survey participation and other region-wide initiatives.
- Coordinates logistics of the APJ People Leaders Series including coordination of the collaboration space, set up of bi-monthly conference calls/live meetings, responses to inquiries and tracking of participation.
- Performs advanced word processing, desktop publishing and analytics to include complex presentations, reports, spreadsheets and graphs; transcribe information of a technical, confidential and/or sensitive nature; may be required to take meeting and/or conference call minutes.
- Collects and prepares information for use in discussions/meetings of executive staff and outside individuals.
- Prepares presentation materials for executive review meetings.
Draft, review and/or edit written material to ensure accuracy, neatness, correct punctuation and grammar; recommend changes to improve readability and clarity.
Research, compile, summarize, and analyze information to formulate correspondence and respond to various inquiries from internal and external customers.
- Utilize company personnel at all organizational levels to gather information to prepare reports.
- Screen mail and callers, respond to and route inquiries to appropriate colleagues as necessary; determine importance and priority of various issues and determine what major issues should be brought to the attention of the company executive.
- Coordinate, assist in planning, prepare agenda and monitor meetings; maintain calendar(s) and travel requests.
- Handle highly confidential, sensitive and/or critical information, files, records and reports.
- Actively promote and ensure clear communication throughout the various departments of the company.
- Manage and coordinate projects and programs to ensure high quality end results within given timeframe.
- May be required to perform other related duties as required and/or assigned.
Education Requirements:
- University degree preferred or 0ffice/secretarial certification preferred.
Experience Requirements:
- Requires a minimum of five years of related specialized administrative experience, including successful experience working with senior level executives.
- Must demonstrate exceptional computer skills and software application proficiency. Demonstrated ability to read difficult instructions and maintain written records required. Excellent written and oral communication skills are required.
- Must be able to interface effectively within all levels of the organization and with senior executives outside the company.
Must be able to demonstrate Advanced level proficiency in Microsoft Word, Excel, Power Point, Visio and Outlook.
